Manual Ingestion — Cost Estimate

Loading equipment parts manuals into the Intella AI platform

Prepared for Intella Parts Prepared by Codeaza Technologies Date 17 July 2026

This is a plain-English estimate of what it costs to load a batch of equipment parts manuals into Intella so they become searchable through the AI assistant. The numbers below are based on the JLG run we have already completed — so these are real, observed figures, not guesses.

Estimated cost
~$175
Manuals processed
~2,000
Turnaround
~1–2 weeks

Cost breakdown

WorkManualsCost
JLG manuals — full ingestion1,099~$140
Hyster & Yale — section-title cleanup930~$35
Total~2,000~$175

That works out to roughly 9 cents per manual. All figures include a safety margin for retries and reprocessing.

Why it's this affordable. We run the manuals through OpenAI's Batch service, which is billed at half the standard rate. We began on the regular (instant) service, saw it was too slow and too expensive at this volume, and switched — cutting the cost by roughly half.
One thing to note. The JLG run is not fully finished — it paused when the account reached its $120 monthly spending limit. To complete the remaining manuals, that limit needs to be raised. Once it is, we can finish the run and apply the same approach to future batches.

At a glance

Next steps

  1. Raise the OpenAI monthly spending limit so the JLG run can complete.
  2. Finish the remaining JLG manuals and verify search quality in Intella.
  3. Roll the same batch approach out to the next set of manufacturers.
